Contract Types Description
The following agreements must be used when working with Photographers, videographers, illustrators/animators who create the assets… Contracts have a clause about naming suppliers (crediting). The supplier must waive their right to be credited. Speak to Jasmine or Legal if a supplier is not willing to agree to this and wishes to assert their right to be credited.
Master Agreement of Film and Photography When commissioning any assets at VB/VE this contract must be signed. This must be used when commissioning a photographer,  videographer or illustrator/animator. Staff are required to follow procurement rules when commissioning suppliers.
The schedule at the back relates to the work being undertaken, the rights agreed and the fee being paid. VB/VE requires copyright assignment. Speak to Jasmine or Legal if a supplier is not willing to agree to this. Without a contract, assets cannot be used and staff are responsible for obtaining necessary agreements.
Asset Licence Agreement When the assets are owned by a third party and VB/VE wish to licence the images for a particular project or for all VB/VE uses. VB/VE staff must ensure that the licensor has all the necessary permissions in place for people, places or artworks for the intended uses. Without this the asset cannot be used.
If there is an expiry on this licence, staff are required to follow the take down process relating to the agreement on that asset (assets on VBI will have an expiry added and removed prior to the expiry date and users who have downloaded informed)
Copyright Assignment Form Copyright assignment is when the original owner of the asset assigns the copyright (IP) in an asset to VB/VE. VB/VE staff must ensure that the licensor has all the necessary permissions in place for people, places or artworks for the intended uses. Without this the asset cannot be used.

Model Release A model release is the form signed by the person featured within an image, video or artwork. Children below 16 must have a parent or guardian sign the form. This is required for commercial uses. This includes groups of people at events and festivals.
Remember, individuals still have the right to object to the use of an asset even when used editorially (when a form is not signed)
Property release A property release is the form signed by the property owner of the property featured within an image, video or artwork. This is required for commercial uses. Without this an asset cannot be used for commercial uses.
Artist Release The Artist release is signed by the owner of artworks when featured in an image, video or artwork and is required for commercial uses. The artworks must be credited if the Artist asserts his/her rights to be credited.
Music or Voice Over licence A music or voice over licence is required when a video edit requires sound. Please request this from the owner and ensure the necessary rights and duration are agreed.
